How to add an event to the York University events calendar.
Adding your event to the York University Events Calendar is a straightforward process designed to help your event reach the right audiences across the University. Please follow the steps and guidelines below to ensure your submission is approved and displayed correctly.
Step-by-Step Submission
1. Click “Add an event”
You’ll be prompted to log in using your Passport York credentials.
2. Complete the event form
Fill in all required fields with accurate and complete information. Incomplete submissions will not be published.
3. Include an image
Including an image increases the visual appeal of your event.
Upload a featured image in JPEG format, 768×300 pixels.
Images must be free of text and include appropriate alt text to meet AODA accessibility standards in order to be published.
3. Include virtual details (if applicable)
For online events, be sure to include the virtual meeting link in the event description.
4. Submit for review
Once submitted, your event will be reviewed by YFile staff or your unit’s designated super user. Please allow 48 hours for publication.
Guidelines for Approval
• Featured Events
To have your event featured in the YFile newsletter or on the website, email yfile@yorku.ca with the subject line: featured event request.
• Image Requirements
– images must be in JPEG format, 768×300 pixels.
– They must be free of text and include appropriate alt text to meet AODA accessibility standards.
– The image is for visual appeal only and will be automatically cropped to fit various calendar views.
• Accessibility Reminder
Do not upload posters. They are not compliant with Ontario’s accessibility requirements (AODA). Instead, provide all event details in the designated form fields to ensure accessibility.
• Category Selection
Select only the department or unit responsible for the event.
• Student and Club Events
Events organized solely by student clubs are not published on the University Events Calendar. These should be submitted through the appropriate student event platform. If a York department is co-sponsoring the event, they must submit it.
